Driver recruitment privacy notice

This notice explains how iCABS TRAVEL GB LTD, trading as iCABS, handles personal information provided through the driver recruitment and onboarding portal.
Information we collect
We may collect contact details, address and date of birth, licensing and driving information, right-to-work status, vehicle information, working preferences, uploaded compliance documents, recruitment communications and application activity. We do not ask applicants to enter a National Insurance number into the portal.
Why we use it
- To assess eligibility and suitability to undertake private-hire work through iCABS.
- To verify licence, insurance, vehicle and compliance information.
- To communicate about missing information, interview or induction arrangements and the outcome of an application.
- To create and maintain an approved driver account and associated compliance records.
- To protect passengers, drivers, iCABS and the integrity of the dispatch system.
Who can access it
Access is limited to authorised iCABS administrators and operational staff who need the information for recruitment, compliance or account activation. We may also share information where required by law, with professional advisers, technology providers acting under our instructions, or with licensing and regulatory bodies where appropriate.
Document security
Uploaded files are stored in a protected server folder and are served through authenticated administrator controls. Applicants should only upload clear documents that are relevant to the application.
Retention
Draft and unsuccessful applications are normally retained only as long as reasonably necessary for recruitment, audit and dispute handling. Approved application information may become part of the driver’s ongoing compliance record. Retention may be extended where required by law or a legitimate operational need.
Your choices and rights
You can withdraw a draft application, ask us to correct information, or contact us about access, deletion, restriction or other data-protection rights. Some information may need to be retained where there is a legal, safety or audit requirement.
